PDF Redaction for Controlled Disclosure
This release introduces PDF redaction in Clear Ideas.
Administrators can now review and finalize redactions for sensitive PDF content using a workflow designed for secure external collaboration, governed AI, and permission-aware search.
What’s new
- Automatic term-based redaction for names, identifiers, emails, URLs, and other repeated terms
- AI-assisted PII term identification to automatically suggest personally identifiable information terms from extracted document text before review
- Per-term matching control with exact matching or include-variants behavior
- Draft save workflow so administrators can save a redaction setup before finalizing
- Manual redaction regions for signatures, stamps, and visual content that should be removed directly on the page
- OCR/scanned PDF support so redaction works for both native text PDFs and image-based PDFs
- Destructive redaction behavior rather than a cosmetic overlay-only approach
- Preview as role so administrators can verify how restricted roles will receive the watermarked or redacted document before sharing
Role-aware redacted views
PDF redaction is representation-aware across the platform.
That means restricted users can receive the redacted representation not only in the PDF viewer, but also across:
- downloads
- extracted text
- AI summaries
- AI Chat retrieval
- search results
At the same time, authorized administrative roles can continue to work from the original document when appropriate.
This makes redaction useful for secure external review, compliance-sensitive sharing, and permission-aware AI workflows built on approved documents.
AI-assisted review workflow
Administrators can now start redaction review faster by asking Clear Ideas to identify PII terms with AI.
That workflow supports:
- AI-suggested PII terms added into the editable redaction term list
- explicit save-draft behavior before finalization
- per-instance review, including cases where a detected term should remain identified but not be redacted
- final validation with preview-as-role before external delivery
Why it matters
Redaction in Clear Ideas is designed for controlled disclosure.
Instead of treating redaction as a simple black box drawn over a PDF, Clear Ideas ties the redacted representation into the same governed workspace used for document sharing, AI, and search. That keeps the system of record intact for authorized roles while ensuring restricted users only receive the version they are meant to see.
Supporting improvements
This release also includes stronger matching for structured terms that often break across lines, including:
- wrapped identifiers
- punctuation-heavy references
- long URLs
- common OCR-style

AI Chat Slide Presentations and PowerPoint Export
AI Chat slide presentations are now more useful both inside Clear Ideas and outside it.
When AI Chat generates a slide deck, users can now export that presentation directly as a native PowerPoint .pptx file rather than relying only on browser-based slide viewing or PDF export.

- Native PowerPoint export from AI Chat slides so generated presentations can be downloaded as editable
.pptxfiles - Support for multi-slide and multi-presentation responses so each generated presentation can be exported independently
- Speaker notes carried into PowerPoint when slide markdown includes

- Better in-chat slide presentation styling with stronger typography, notes display, and more faithful background-color handling

Clear Ideas now keeps stronger governed records for AI Chat and AI Workflows.

- Durable evidence storage so governed AI activity can be reconstructed later without depending only on live application data
- Controlled evidence export for organization administrators when review, audit, or retention work requires it
- Retention-aware AI lifecycle controls including archive behavior and policy-driven deletion prevention

This gives teams a cleaner operating model for sensitive AI work. Conversations and workflow runs stay useful in the product day to day, while governed records remain available for review, replay, and evidence when they are needed.
Site Archiving and Content Recovery
Clear Ideas now includes stronger lifecycle management for sites and their content.
Administrators can archive sites when they should no longer appear in day-to-day workspace activity, while still preserving a clearer administrative record of what has been retired from active use.

- Site Archiving so inactive or completed sites can be moved out of the active site list without being deleted outright
- Archived site handling across settings and administration views for a cleaner distinction between active and archived workspaces
- Recently deleted content management improvements to make restoration workflows clearer and more dependable when content needs to be recovered

AI-Assisted Nudges
Clear Ideas now surfaces AI-assisted Nudges: short, product-aware insights that help users decide what to do next in a workspace or site.
Rather than static dashboard cards, Nudges look across several signals at once — what content is being used, what people are searching for, what AI Chat is being asked about, which workflows are active, and where attention has drifted — and present the most useful one-line takeaways at the top of the page.
What's new
- Workspace-, site-, and user-scoped Nudges so the right guidance appears wherever the user is working
- Role-aware suggestions so viewers see personal, in-scope Nudges about their own documents and recent activity, while administrators see operational Nudges about the broader workspace
- Cross-signal reasoning that can connect trending searches, popular content, and AI Chat themes into a single meaningful insight instead of another raw metric
- A new Nudges hero on each site with feature cards, a prompt rail, and supporting stats for at-a-glance orientation
Why it matters
Nudges turn the everyday activity happening inside a Clear Ideas workspace into forward-looking guidance. They help administrators spot issues and opportunities early, and help viewers focus on what's changed and what deserves attention next — without having to read every chart.
AI Workflows and Scheduled Automation
AI Workflows now support more flexible scheduled automation with reusable execution presets.
Teams can define one workflow, save named Variable Presets for different execution-time inputs, and attach those presets to workflow schedules or scheduled web import completion triggers. The Workflow Assistant has also been improved so users can make precise, targeted workflow edits in plain language.

- Targeted edits from natural language so small, surgical changes stay small and surgical
- Clarifying questions before destructive changes so ambiguous requests get a quick confirmation instead of a surprise rewrite
- Human-in-the-loop steps that pause a workflow to collect a human answer before continuing
- Sub-workflows so one workflow can call another and use its output, making complex processes easier to compose
- Upload-driven triggers alongside webhook and sub-workflow triggers, all under a single unified "Trigger" concept in the UI
- Run-time inputs so workflows can accept search terms, prompts, or other values at the moment they're launched
- Variable Presets for scheduled automation so the same workflow can run with different execution-time inputs, such as checking several company websites with one reusable workflow
- Preset-aware workflow schedules so scheduled runs can use selected presets instead of only the workflow's default variable values
- Schedule fanout across presets so one scheduled time can create separate workflow runs for each selected preset

Expanded Analytics Filtering
Analytics views have been reworked to make it faster to navigate, filter, and act on workspace data.

- AI Chat source filtering so AI Chat analytics can be narrowed to a specific source, such as public chat, embedded chat, or in-app usage
- Copy tooltips on AI Chat, Audit Trail, Most Accessed, Most Active, and Most Searched for clearer "copied" feedback
- Cleaner Dashboard and Insights Report layouts with smoother rendering as data arrives
- Faster analytics search so filtering inside each panel feels more responsive

Analytics is easier to scan and drill into. Search inside each panel means administrators can answer a specific question — who, what, or which term? — without leaving the page.
Latest Claude Opus Support
Clear Ideas now supports the newest Claude Opus models from Anthropic across AI Chat, AI Workflows, and other AI-driven features.
Customers using the "latest Claude Opus" alias in their workflows and AI surfaces are automatically upgraded, so they continue to benefit from the strongest available reasoning models without having to track version numbers or update settings.
Refreshed App Experience
The Clear Ideas web application has been refreshed across chat, signing, search, and public experiences.
What's new
- Refreshed AI Chat UI with a cleaner chat panel layout, updated chat button, refined drawer styling, and improved message rendering
- Richer search results with stronger summaries and context in the unified search layout, available in both English and French
- Smoother PDF signing with more accurate cursor behavior while drawing a signature and a cleaner, more consistent Sign tab
- Voice settings for Public Chat so voice-enabled public chat experiences can be configured end-to-end
- Consistent AI action styling so AI-triggered buttons look and behave the same across Insights, analytics, and content surfaces
